A GUIDE TO PROJECT MANAGEMENT AND PROBLEM SOLVING THINKING
Download: Problem Solving Guide Handout
-
Identify the Problem
- Brainstorm a list of ideas and prioritize
- Start with a pre-determined problem
- Solution not known
- Compare ideal vs. current
- Must be measurable
- Keep scope in mind
-
Grasp the Current Situation
- Genchi Genbutsu: Go and see the problem for deeper understanding
- Use data objectively to break down the problem into smaller, more concrete problems
- Narrow the focus to one aspect of the problem to solve
- Make sure it is still a problem – if not, go back to step 1
-
Set a Target
- Specific and numeric
- Clarify rationale and impact
-
Determine the Root Cause
- Brainstorm potential causes for the problem
Can you turn the problem on and off with the root cause? - Come to consensus on one or two high potential causes (direct cause)
- Go and see or collect data to verify if direct cause is true
If not true, go to next direct cause
- Brainstorm potential causes for the problem
-
Develop a Countermeasure Plan
- Address the root cause
- Clarify roles and involve everyone
-
Implement Countermeasure
- Collect data to monitor results
- Be consistent in any before and after comparisons
- Ensure no adverse effects at neighboring processes
-
Confirm Results
- Compare results with target from Step 3
- If still off, try next countermeasure or return to Step 4
- If on track, cease any short-term measures
- Self-evaluate development
-
Standardize / Control
- Standardize success to prevent recurrence
- Re-train as needed
- Audit or create systems to sustain improved standards
